VIII. SUPPLEMENTARY INFORMATION

A. Safety

General introduction to safety issues will be done during orientation and prior to starting classes. Specific and detailed safety training is done under the supervision of the research advisor.

B. Northwestern Identification Number

Each student at Northwestern University is assigned an official Identification Number (ID) which is used on all student records (such as transcripts, financial accounts, library records, etc.).

C. Vacation

Students receiving financial aid through the University (Research Assistantships, Fellowships, Teaching Assistantships) are entitled to staff holidays. Please note that the breaks between academic quarters, such as at Christmas and spring break, are not vacation periods. Paid vacation or excused absences must be arranged in advance with the faculty adviser. A paid vacation of two weeks per year is considered normal for a student making satisfactory progress toward a degree. If approval from the adviser is not obtained before taking any time off, loss of financial support may result. Students electing not to take vacation are not entitled to any extra compensation.

D. Keys

Each graduate student may obtain a key for the outside doors of the Technological Institute and for the Chemical and Biological Engineering Laboratories. In order to get your keys, please obtain an application form from the departmental office. A nominal deposit will be required for each key issued to you. This deposit will be returned at the time you return your keys prior to leaving the department. The application form must be filled out and returned to the office before your keys can be issued.

E. Desk and Research Space Assignment

A desk or table for personal use will be assigned to each graduate student in residence at Northwestern University. Each student will also be assigned to a specific research space within one of the Chemical and Biological Engineering Laboratories when research is initiated. The assignments of both desk and research spaces are handled by Jeff Johnson, Business Administrator. Please see him when you need space and notify him of any changes which you wish to make.

F. Mail and Telephone Service

Each graduate student is assigned a mailbox in Room E221. All mail received in the department office will be delivered to these boxes each day.

Telephones are available in each student office. Outgoing calls on these lines are limited to the local area. Research related long distance calls may be made using a billing code provided by your advisor. For personal calls beyond this area, use personal calling cards, or the public telephones located just inside the front doors of the main lobby of the Institute.

G. Automobile Regulations

The University regulates the use of parking facilities through the Department of Public Safety. Graduate students who wish to obtain a permit to park their automobiles in the various University parking lots should obtain an application from the Department of Public Safety, which is located at 1819 Hinman Avenue. On payment of a fee, you will receive a sticker valid in certain of the University lots for one year. Note that the parking regulations, which will be distributed to you with you parking sticker, are strictly enforced and that you will be fined if you disobey these regulations.

H. Department Office and Office Supplies

The departmental office suite is located in Room E136. Note that supplies kept in this office as well as office equipment are for the use of the staff and faculty only and should not be requested by students unless specifically authorized by their major professor.

I. Housing

Each graduate student is responsible for securing his own housing while in residence at Northwestern University. However, the University does have several offices which will assist students in locating suitable apartments. The Off Campus Housing Office, which is in Englehart Hall at 1915 Maple Ave., maintains a large listing of rooms available in the immediate vicinity of the Institute. Most unmarried students will find the files of this office most helpful in locating a room.

A number of apartments are available in Engelhart hall, located near the University campus. Interested students should contact the Graduate Office, in Engelhart Hall, for information. There also are many private apartments and rooms available in the city. Information concerning these can be most readily obtained from the classified section of the Evanston Review, a local publication which appears every Thursday morning. (New student arrivals in the fall should also check at the Department Office, to see if other leads are available.) Please be sure to keep the department office informed of your current address and telephone number at all times.

J. Student Health Service

The Student Health Service provides competent medical care for each regularly registered graduate student (and his/her dependents, if desired). A broad insurance program covering both accidents and sicknesses makes it possible to cover most of the expenses incurred. Headquarters for the program is the Searle Student Health Center at 633 Emerson Street. Students requiring medical attention should report there for diagnosis and treatment.

Each full time graduate student must enroll in the University Student Health Program unless he or she has adequate coverage from other sources. Please check directly with Student Health for specific details.

K. Financial Aid Checks

Graduate students who are receiving financial aid from the department will receive their checks on the last working day of each month beginning in September. Details of the payment schedule and other related matters are presented in a separate statement concerning financial aid policy and procedures of financial aid payments which is available in the department office.

L. Supplies, Equipment, and Services

Services for the construction, fabrication, design, and repair of equipment are provided on a charge basis by various shops in the Technological building.

Mechanical and machine work can be obtained from the instrument shop, located in NG40. There is a Student Shop (Rm. NG36), which houses some commonly used machines such as a drill press and lathe for the use by experienced students; access is arranged through the Physics Department business office. Students requiring shop service should discuss their need with the foreman of the appropriate shop after consulting with their thesis advisor.

In addition to the mechanical shops, there is a glass shop to provide glass blowing services for glass equipment and an electronic shop operated by the Chemistry department for the repair and construction of electronic equipment. To use these shops, for major repair or construction, a work order form has to be filled out and signed by the thesis advisor. A university account number must also be supplied.

Some supplies are available from the Chemistry stockroom. In general, an account number must be provided. Since there is currently no central storage room for chemicals in the department, students are strongly encouraged to buy only the amount of chemicals needed to minimize the need for storage, to reduce the danger of storage and to lower the cost of disposing of the chemicals. Chemicals are disposed of through the Research Safety Office.

M. Purchasing Equipment and Supplies

All equipment and supplies which are needed in connection with research work are to be ordered through standard University channels. Students wishing to order equipment and supplies should fill out an order request, which may be obtained from the department office. This form must be completed, signed by the major professor, and returned to the department office.

A formal order will then be entered into the Electronic Purchasing System approved by the department chairman or his representative, the Assistant Dean's office of McCormick and the University Purchasing Department, which places the order. When supplies are received, they will be delivered to the Chemical Engineering Office, Room E136, where they can be picked up. Students will be notified when their orders have arrived. Large orders are taken directly to the laboratories of students ordering them. Gas is picked up outside the receiving room. (Note: It normally takes two to three weeks from the time that the order is turned in to the departmental office until supplies are received. Therefore, it is wise to order supplies well in advance of the time when they will be required.)

N. Checking Out

At the conclusion of his/her stay at Northwestern, each student must return all equipment, keys, etc. Please check with the department office about the disposition of gas cylinders you have ordered but have not returned because there is gas left in them. A special check out form for this purpose has been prepared and is available in the departmental office. Please be sure to secure such a form and follow directions on it when you are preparing to leave. Remember to include your new work and home addresses.

O. Grievances

If at any time you have a grievance to make concerning any aspect of your coursework or your research, the person you should talk to is the Chair of the Department. Should the issue not be resolved after talking to the Chair, you should then see the Dean of the McCormick School of Engineering and Applied Science. That office is in the Technological Institute. Should the issue still not be resolved, there is a Grievance Committee for the University to whom you can make an appeal.
